OpsPrompt puts AI to work on your own documents. It answers with the page, walks techs through fixes one step at a time, hands out the right form and checklist, and keeps sensitive matters with a person. Here is all of it, and what each plan includes.
AI answers from your documents, with the page.
Your crew asks in their own words and gets a short, plain answer from your handbook, manuals and procedures, with a link to the exact page. When the answer isn't in your documents, it says so instead of guessing, and points them to the right person. If they asked about a brand you service, it can also link to that manufacturer's own manuals page.
- Every answer names its source and links the page it came from
- Answers only from what your office publishes, never from the internet
- Follow-up questions keep the thread: "and for a second night?"

On a tech's phone
Request vacation at least two weeks ahead using the time-off request. Requests for more than five working days also need your supervisor's approval.
Guided fixes, one step at a time.
Turn your troubleshooting procedures into tap-through guides. The assistant spots the likely cause and offers the guide; the app walks the tech through it exactly as your company wrote it.
- Safety steps come first, and they can't be skipped
- Yes/no checks and readings lead to the right next step
- Pictures on any step, loaded when the guide starts, so a weak signal on the roof doesn't stop it
- "I'm stuck" puts a tap-to-call help number on screen
- Your office builds guides on a simple flowchart, or converts an existing PDF procedure
Techs can also tap whether the fix worked. The counts, with no names, show your office which steps need work.
A safety step, then a check
Turn off power at the furnace service switch and close the gas valve before you open the burner compartment.
Look at the flame sensor rod. Is it dark, coated or discolored?
Every company form, in one place.
Ask for a form and get the current one, as a link. Forms stop getting emailed around as attachments, so nobody fills out last year's version.

Use the Vehicle Damage Report. Fill it in on your phone and it goes to the fleet manager. Add photos of the damage if you can.

Inspection checklists, filled in on a phone.
Your scaffold, ladder, vehicle and jobsite checks become tap-through checklists. The crew taps OK, Issue or N/A on each item, and the finished checklist is emailed to the supervisor.
- Ask "what checklists do we have?", or the assistant offers the right one under an answer
- An Issue opens a box to say what's wrong; an Issue on a critical item marks the whole checklist FAIL in the email subject
- Your safety manager can be copied automatically whenever anything is marked Issue
- Mark all OK for a clean check, and nothing goes until every item is answered
- Photos go in through the phone's own mail app before sending
- Your office builds checklists in a simple list, or converts a typed checklist you already use. With Premium, the assistant drafts one from your safety manual, each item with the passage it came from, for your office to check
The email is the record: we don't keep a copy of what was filled in.

Use the scaffold daily inspection before anyone works on a scaffold over 6 ft. It goes to your supervisor when you're done.
Filling it in
Your videos, at the right moment.
Link your training videos on YouTube, Vimeo or your own website, or, with Premium, upload your own. Add captions and the answer can point to the moment a step is shown.

Shut off power and gas, remove the sensor (one screw), clean the rod with fine emery cloth until it's bright, then reinstall it and call for heat. The video shows the cleaning at 1:42.
Document security levels.
Not every document is for everyone. Put documents into up to three levels, and each person gets answers only from what their level allows.
- Everyone sees Level 1, leads see Levels 1 and 2, managers see all three
- Documents above the asker's level are filtered out before any answer is written, so the assistant can't repeat, summarize or hint at them
- Your admin sets each person's level on the People page
- Choose, per document, who sees its source link
- Your office can "view as" a lower level to check exactly what each group gets

Sign in with the account they already have.
No new usernames, no new passwords. Your crew signs in with their existing Microsoft 365 or Google Workspace account.
- Microsoft 365 accounts sign in with Microsoft; Google Workspace accounts sign in with Google (we set this up once with your Google admin)
- No company email? A one-time code sent by email works too
- Only the people you invite get in
- Turn off someone's company account and they can't sign in here either
- Everyone accepts your usage terms the first time they sign in
How each person signs in
Set up with QR codes, not an I.T. project.
Two ways in: a printed QR card in the shop, trailer or truck, or the app's own QR code on a coworker's phone. We set up your app at yourcompany.opsprompt.app and add your people before launch day. Scan, sign in, add to home screen: that's the whole install.

OpsPrompt is a web app. Add it to the home screen on iPhone, iPad and Android, or open it in any browser on a desktop or laptop. Nothing to download from an app store.

One page to publish, one to see what's working. Your office manager can do all of it from a desktop.
- Publish: drop in PDFs, Word or Excel files; replace or remove any document; "Index now" makes changes live
- Knowledge Gaps: the questions your documents couldn't answer, with no names attached
- Insights: questions asked, how many were answered, top questions, and common themes in what's missing
- Manuals people asked for: brand questions your documents don't answer yet, with a link to the manufacturer's page, so you can add the manual
- Monthly owner report: on the 1st, a short email to the owner: questions answered from your documents, how that compares with last month, gaps fixed, and an estimate of the hours and pay saved, worked out from your own pay rates (the same arithmetic as our savings calculator)
- Freshness: see which documents haven't been updated in a year
- Notices: post a short message to everyone, or to one level, for up to 30 days
- People: invite and remove people, and name curators and other admins, without calling us (and set levels, with Premium)

With Premium, the AI helps your office keep its content sharp. It notices, drafts and double-checks. You decide.
- Field feedback shows where a guided procedure stalls, and the assistant drafts the fix using your manual's own words and page
- Answer a gap in one sentence and it drafts the Company FAQ entry for you to check
- After you publish, it re-checks open gaps and closes the ones your documents now answer, with an Undo
- It flags documents that mention an old year, and documents that disagree with each other
- The upload assistant catches duplicates and newer versions of existing documents
- A weekly summary email, if you want one
Nothing is published without your tap, safety steps are never changed, and every number in a draft has to match your documents.
