What is OpsPrompt?

An AI assistant your crew opens on their phone, iPad or desktop to ask questions about your company: policies, procedures, equipment, forms. It answers only from the documents your office publishes, shows the page each answer came from, and sends sensitive matters to a person.

Who is it for?

Field-service and trade companies with roughly 15 to 150 employees, on Microsoft 365 or Google Workspace: HVAC, plumbing, electrical, construction, fire and security, landscape and similar. If most of your people work away from a desk, it's built for you.

How is this different from ChatGPT or other AI chat tools?

General chat tools answer from the internet or from whatever a person can open. OpsPrompt answers only from the documents your office publishes for it, cites the page, says so when the answer isn't there, keeps sensitive topics with HR, and respects your security levels. It's your company's answers, not the internet's.

What if we don't have the manual for a piece of equipment?

You list the brands you service. When someone asks about one and your documents don't cover it, the answer says so and links to that manufacturer's own manuals page, marked as not checked by your office. It never searches the internet or writes an answer from it. The question also shows up for your office, so they can add the manual and the next person gets a real answer with the page.

We haven't used AI yet. Is this a good place to start?

Yes. It's a practical, contained first step: the AI works only on the documents you choose, every answer shows its source, personal matters stay with people, and we do the setup. Your crew doesn't need to learn anything new.

What do we need to get started?

Your documents (whatever you have is the starting point), a list of your people, and one person in the office to own the content. We do the technical setup and produce the QR cards. After launch, anyone already using the app can show its QR code to a new hire with Share app.

Will my crew actually use it?

It's built for that: no new app to install, no new password, answers in plain language in English or Spanish, and nothing to learn beyond typing a question. We recommend a short pilot with a mix of roles, including a skeptic, before rolling it out.

How will I know it's working?

On the 1st of each month you can get a short email: how many questions were answered from your own documents, how that compares with the month before, and the gaps your office fixed. The office's Insights page has the details. Neither shows who asked.

For the crew

Do they need to know anything about AI?

No. They ask a question the way they'd ask the office, and get a plain answer with the page it came from. The AI works behind the scenes.

Do they need to install anything?

No. They scan a QR card, or the QR code on a coworker's phone (Share app, at the bottom of the chat), sign in, and add the app to their home screen. On a desktop they just open the address in a browser.

What devices does it work on?

iPhone, iPad, Android phones and tablets, and any desktop or laptop with a current browser.

How do they sign in?

With the Microsoft 365 or Google Workspace account they already have. Someone without a company email can get a one-time code by email instead.

Does it work in Spanish?

Yes. Ask in Spanish and the answer comes back in Spanish, citing your documents by their names.

What if the signal is weak?

Asking a question needs a connection. Once a guided procedure starts, its steps and pictures are on the device, so a weak signal doesn't interrupt it.

Can it get things wrong?

Every answer shows the document and page it came from, so anyone can check it, and it says so when your documents don't cover something. For anything critical, open the page it cites.

For the office

What documents work best?

PDF, Word and Excel files all work. PDFs are best for long documents, because answers link straight to the page. Keep one current version of each document, and for dense documents (benefit plans, for example) a short plain-language FAQ helps a lot.

Where do our original documents live?

Wherever you keep them today. Your office publishes a copy of each current document to the assistant on the Publish page.

How do we update a document?

Publish the new version in place of the old one. "Index now" makes the change live right away; otherwise it's picked up within about half an hour.

How much work is it for the office?

A few minutes a week: check the unanswered questions, then add or update the document that answers them. With Premium, the assistant drafts some of those answers for you to approve.

Can we control who sees which documents?

Yes, with Premium. Put documents into up to three levels (for example everyone, leads, managers). People only get answers from their own level and below.

Can we add our own forms and videos?

Yes, on any plan. The company forms library holds your Adobe Sign forms, PDFs and online forms, plus simple form pages that email the answers to whoever handles them. Link your training videos on YouTube, Vimeo or your own website. With Premium you can also upload your own video files, which are stored with your documents and play in Microsoft Stream.

Security & privacy

Who can see what my employees ask?

Your office sees the questions that went unanswered and overall counts, never who asked. Questions are stored without names, to improve answers and show your office what's missing. Small counts are hidden so nobody in a small crew can be picked out.

Do you use our documents to train AI?

No. We don't use your documents or your crew's questions to train AI models. The AI that writes the answers runs in Microsoft Azure.

What happens when someone leaves the company?

Turn off their company account and they can't sign in here either. Your admin can also remove them on the People page.

What happens to our data if we cancel?

Your app, your published documents and your stored questions are deleted from the service. We keep only the offboarding record your contract describes. Your original documents were always yours.

Where is it hosted?

On Microsoft Azure and Microsoft 365. Each company gets its own app and its own search index; one company's documents are never mixed with another's.

Pricing

How much does it cost?

Standard is $1,200 a year and Premium $2,400 a year, each with 25 users and setup included; each additional user is $24 a year on Standard, $48 on Premium. How are employees counted?

By the number of people you invite, counted each quarter, so seasonal crews are easy.

Are there per-question fees?

No. One flat annual fee, AI included, however much your crew asks.

Is support included?

Yes. If it isn't doing what it says, we fix it. Help writing or cleaning up your documents is available separately as consulting.
